Affiliate Booking & Operations Policy

At Elan Limousine Service, we are committed to providing exceptional, reliable, and professional chauffeured transportation to our affiliate partners and their clients. This Affiliate Booking & Operations Policy establishes clear terms and expectations consistent with industry standards for black car and limousine services and applicable Indiana law. These policies are designed to ensure operational efficiency, service consistency, and legal clarity.

By booking transportation services with Elan Limousine Service, affiliates acknowledge that they have read, understand, and agree to comply with this Policy. Continued booking constitutes ongoing acceptance of these terms.

1. Booking & Payment Requirements

​

Booking Procedures

All affiliate reservations must be pre-scheduled through one of the following methods:

  • Affiliate booking portal (Limo Anywhere)

  • Email

  • Phone call to our office

 

The following information is required at the time of booking:

  • Pick-up date and scheduled pick-up time

  • Pick-up and drop-off addresses

  • Lead passenger name and direct contact number

  • Passenger count and luggage count (required for airport services)

  • Flight information (commercial or private, when applicable)

  • Requested vehicle type

  • Any special instructions or notes relevant to the service

 

Incomplete, inaccurate, or late-provided information may impact service quality, timing, or vehicle availability.

 

Payment Policy

​

New Affiliate Partners

For new and first-time affiliate relationships, full payment is required prior to vehicle dispatch.

A secure payment link will be issued to the affiliate email address on file.

Reservations are considered confirmed only once payment has been successfully received.

Vehicles and chauffeurs will not be dispatched without payment secured in full.

Prepayment remains in effect until a trusted partnership is established through consistent booking history and timely payments.

 

Established & Trusted Affiliate Partners

Established affiliate partners with an approved account and valid payment method on file may qualify for post-service billing.

​

Under this arrangement:

  • A valid credit card must remain on file at all times

  • Final billing will be processed upon completion of service

  • Rates may be adjusted based on confirmed mileage, time, or itinerary changes

 

Post-service billing is extended as a professional courtesy and may be modified or revoked at any time.

Payment Authorization

By confirming a reservation, the affiliate authorizes Elan Limousine Service to charge the payment method on file for:

  • Completed services

  • Late cancellations

  • No-shows

  • Approved rate adjustments

  • Additional fees

 

Authorization remains valid regardless of billing timing.

​

Reservation Confirmation & Financial Obligation

All reservations are considered confirmed once availability is accepted and service is authorized by the affiliate.

Confirmed reservations constitute a financial commitment and remain subject to all cancellation and no-show policies regardless of when payment is processed.

​

Accepted Payment Methods

Accepted payment methods include credit card (on file or secure link), company check, or ACH for approved affiliates.

Short-Notice Bookings (Less Than 24 Hours)

​

Elan Limousine Service generally discourages accepting reservations made within twenty-four (24) hours of service due to vehicle and chauffeur availability constraints.

​

If Elan Limousine Service elects, at its sole discretion, to accept a short-notice booking:

  • Payment in full is required immediately

  • All short-notice bookings are non-refundable

  • Operational resources are immediately committed upon confirmation

 

Airline-Related Exceptions for Short-Notice Airport Services

For airport-related services impacted by airline delays or cancellations:

  • Reasonable efforts will be made to reschedule based on availability

  • Limo Anywhere network affiliates may be eligible for a courtesy credit when applicable

  • Refunds are not guaranteed and remain at the discretion of Elan Limousine Service

 

2. Affiliate Rate Discount

​

Elan Limousine Service offers a ten percent (10%) affiliate discount applied solely to the base vehicle rate on qualifying reservations.

The affiliate discount does not apply to overtime, extended service, extra stops, deadhead mileage, travel time, gratuities, tolls, taxes, cleaning fees, damage charges, or any ancillary or third-party fees.

​Eligibility requires affiliates to remain in good standing and in full compliance with all policies.

​Elan Limousine Service reserves the right to modify, suspend, or discontinue the affiliate discount at any time.

 

3. Trip Modifications

​

Standard Changes

Changes to pick-up time, addresses, vehicle type, or passenger count must be submitted at least twenty-four (24) hours prior to scheduled service.

​

All modifications are subject to availability.

Late changes may result in additional charges.

Day-of-Service Adjustments

Same-day or last-minute requests are handled based on real-time operational capacity.

Significant changes may require a new reservation and/or rate adjustment.

​

4. No-Show Policy

A no-show occurs when the passenger fails to arrive or make contact within the applicable grace period.

​

Grace Period Standards

  • Domestic commercial flights: 30 minutes from gate arrival

  • International flights: 45 minutes from gate arrival

  • Non-airport pickups: 15 minutes from scheduled time

 

Grace periods begin once the chauffeur is on-site and available.

​

No-Show Verification Process

​

Before releasing a chauffeur:

  • Dispatch will be notified

  • The affiliate will be contacted

  • Approval will be sought when feasible

 

If unreachable, Elan Limousine Service may release the chauffeur as required.

​

Billing for No-Shows

Confirmed no-shows are billed at 100% of the contracted rate.

If prepaid, no refund will be issued.

Additional charges may apply for waiting time, mileage, or deadhead travel.

All no-show charges are the responsibility of the affiliate.

​

Airline Delays & Cancellations

Verified airline disruptions may allow rescheduling subject to availability.

Courtesy credits may be issued for participating affiliates.

Refunds are discretionary.

​

Final Authority

​

Elan Limousine Service retains final authority in determining no-show status.

​

5. Extended Service & Overtime Policy

​

Approval Requirements

Extended service requires prior approval from both the affiliate and Elan Limousine Service.

Approval is subject to availability.

​

Rate Conversion

Approved extensions convert the reservation to the applicable hourly rate from the original pickup time.

Deadhead mileage and travel time may apply.

​

Affiliate Billing Responsibility

​

Elan Limousine Service does not collect overtime directly from passengers.

Affiliates are responsible for payment within twenty-four (24) hours of completion.

Outstanding balances must be satisfied prior to future dispatch.

​

6. Hourly & Point-to-Point Service Policy

Hourly services are billed based on minimums.

Excess time is billed at standard rates.

Point-to-point services are quoted based on estimated distance and time.

Route changes or delays may result in rate adjustments.

​

7. Airport Arrival Procedures

​

Indianapolis International Airport (IND)

Chauffeurs meet passengers inside baggage claim with iPad signage.

​

Private Aviation (FBO)

FBO services carry a two-hour minimum.

Additional time, mileage, and travel charges may apply.

​

8. Pet Policy

​

Service Animals

​

Service animals are permitted in compliance with applicable ADA regulations.

Affiliates must provide advance notice at the time of booking when a service animal will be accompanying a passenger so that appropriate chauffeur accommodations may be made.

Advance notice allows Elan Limousine Service to assign chauffeurs without known animal allergies whenever reasonably possible.

Passengers and affiliates remain fully responsible for the care, control, and supervision of service animals at all times.

Excessive shedding, odor, damage, or cleanup resulting from a service animal may result in a cleaning or damage fee.

Non-Service Pets

​

Non-service pets require prior written approval at the time of booking.

All pets must remain in an approved carrier unless otherwise authorized.

Affiliates must disclose the presence of any pet in advance so chauffeur allergy considerations may be reviewed and appropriate vehicle assignment may be made.

Cleaning, damage, or odor issues may result in a Pet Cleaning Fee.

Elan Limousine Service reserves the right to refuse transport of any pet deemed unsafe, disruptive, or unmanageable.

9. Passenger Conduct & Safety

Seatbelts are required for all passengers.

Standing or moving within the vehicle while in motion is prohibited.

Smoking, vaping, use of tobacco products, cannabis, controlled substances, or any illegal or impairing substances is strictly prohibited.

Vehicles are professionally cleaned and inspected prior to service.

Any damage caused by an affiliate client will be billed to the affiliate.

10. Affiliate Responsibilities

​

Affiliates agree to:

  • Provide accurate booking information

  • Communicate changes promptly

  • Ensure client compliance

  • Maintain open communication

  • Comply with all policies

 

11. Company Rights

​

Elan Limousine Service reserves the right to:

  • Modify or cancel non-compliant reservations

  • Refuse service for repeated violations

  • Assess applicable fees
