At Elan Limousine Service, we value our affiliate partners and are committed to providing reliable, professional chauffeured transportation. To ensure smooth operations and consistent service standards, all affiliates are expected to comply with the following cancellation and modification policy.

By confirming a reservation, affiliates acknowledge and agree to the terms outlined below.

1. Policy Applicability

This policy applies to all confirmed affiliate reservations, regardless of billing method, invoicing schedule, or payment timing.

Once a reservation is confirmed and accepted by Elan Limousine Service, it constitutes a binding service commitment and is subject to the terms of this policy.

Each reservation is evaluated independently.

2. Standard Cancellation Notice

Affiliates must provide notice of cancellation at least twenty-four (24) hours prior to the scheduled pick-up time.

• Cancellations made more than 24 hours prior: No charge

• Cancellations made within 24 hours: 100% of the quoted rate will be charged

Cancellations within the restricted window are considered late cancellations and are non-refundable.

 

3. Late Cancellations, No-Shows, & Day-of Cancellations

The following are considered fully billable and non-refundable:

• Cancellations within 24 hours

• Passenger no-shows

• Same-day cancellations

• Missed connections

• Abandoned trips

• Client-initiated cancellations

No-shows and late cancellations are non-negotiable.

 

4. Airline-Related Cancellations & Disruptions

If a client’s trip is impacted by verified airline delays, cancellations, or schedule changes beyond the control of the affiliate or Elan Limousine Service:

• Reasonable efforts will be made to reschedule the reservation, subject to availability

• Limo Anywhere network affiliates may be eligible for a courtesy credit

• Refunds are not guaranteed

All late airline-related cancellations remain subject to this policy once resources have been committed.

 

5. Weather & Force Majeure

Weather-related conditions do not automatically waive cancellation fees.

Exceptions may apply only in cases of:

• Government-mandated travel restrictions

• Airport closures

• Official emergency declarations

Any exception is granted solely at the discretion of Elan Limousine Service.

 

6. Special Events & High-Demand Dates

The following services are non-refundable and non-negotiable once confirmed:

• Indianapolis 500

• Brickyard 400

• Kentucky Derby

• Weddings

• Proms

• Other major local, regional, or national events

Extended minimums and special pricing may apply.

 

7. Multiple & Round-Trip Reservations

Each reservation, including multi-leg or round-trip services, is subject to its own cancellation window.

Cancellation of one segment does not affect the billing status of other confirmed segments.

 

8. Refunds, Credits, & Adjustments

Late cancellations are non-refundable.

At management’s discretion, a courtesy account credit may be issued for future use.

Courtesy credits:

• Are non-refundable

• Have no cash value

• May expire

• May be applied toward future reservations

Issuance of a credit does not constitute a waiver of this policy.

 

9. Modification Policy

Trip modifications requested within twenty-four (24) hours of scheduled service are not guaranteed and may result in additional charges.

Significant changes may be treated as a new reservation and subject to separate cancellation terms.

 

10. Dispute Resolution

All billing, cancellation, or modification disputes must be submitted in writing within seven (7) calendar days of invoicing.

Disputes submitted after this period may not be considered.

 

11. Policy Enforcement

Elan Limousine Service reserves the right to enforce this policy uniformly and consistently.

Repeated violations may result in:

• Loss of post-service billing privileges

• Required prepayment

• Suspension of affiliate services

 

12. Policy Updates

All information contained in this policy is subject to change with or without notice.

Continued use of Elan Limousine Service constitutes acceptance of any updates.
