Deposit, Cancellation and Refund Policy

Deposit & Payment Policy​

To secure a reservation with Elan Limousine Service, a deposit is required at the time of booking. A reservation is not confirmed until payment has been received and processed.

Deposit Requirements

​

Point-to-Point Transfers (Airport / One-Way Service)

• A 20% deposit is required to secure the reservation.
• Remaining balance is due no later than 24 hours prior to scheduled pickup.

 

Hourly Reservations (Weddings, Proms, Concerts, Events, Sprinter & Limousine Service)

• A 50% deposit is required to secure the reservation.
• Remaining balance is due no later than 72 hours prior to scheduled pickup.

 

High-Demand / Special Event Reservations

(Proms, Indy 500, Brickyard 400, Kentucky Derby, New Year’s Eve, and other designated peak events)

• A 50% deposit is required at booking.
• Final balance is due 7 days prior to the event date.
• All payments for these events are non-refundable once processed.

 

Payment Terms

• All reservations must be paid in full prior to vehicle dispatch.
• Failure to complete payment by the required deadline may result in cancellation of the reservation.
• We reserve the right to process the remaining balance with card on file within the required payment window.

 

Refund Processing Timeline

• Credit card refunds: Please allow up to 10–15 business days depending on your financial institution.
• Company check refunds (if applicable): Please allow up to 30 business days.

Cancellation & Refund Policy

​

Cancellation windows are calculated based on the scheduled pickup date and time.

​

Point-to-Point Transfers (Sedan / SUV Airport Service)

• Cancellations made 24 hours or more prior to scheduled pickup will receive a full refund.
• Cancellations made less than 24 hours prior to scheduled pickup will be charged the full fare.

 

Hourly Reservations (Sprinter, Limousine, Wedding & Event Service)

• Deposits for hourly reservations are non-refundable.
• Cancellations made 72 hours or more prior to scheduled pickup will forfeit the deposit only.
• Cancellations made less than 72 hours prior to scheduled pickup will be charged the full minimum reservation amount.

 

High-Demand / Special Event Reservations

(Proms, Indy 500, Brickyard 400, Kentucky Derby, New Year’s Eve, and other designated peak events)

All payments are non-refundable once the reservation has been confirmed.

Due to the high-demand nature of these events, vehicles are removed from availability and cannot be resold.

No exceptions.

No-Show Policy

A no-show occurs when:

• The client is not present at the scheduled pickup location
• The client cancels after vehicle dispatch
• The client fails to contact our office within the required cancellation window

No-shows will be charged the full reservation amount, including any applicable wait time, tolls, parking, or additional charges.

 

Cancellation Upon Arrival

If cancellation occurs after the chauffeur has arrived at the pickup location, the full reservation minimum will be charged.

Vehicle Dispatch

Once a vehicle has been dispatched, the reservation is considered active and non-refundable.

Elan Limousine Service reserves the right to modify policies at any time without notice.
